Create or Edit an Approval Process
Rev allows Admin users to create a content Approval Process so that specific users or groups must obtain approval before their uploads may be viewed. Further, the approvers that are set in the approval process may also be user accounts or groups. Only Account Admins and Media Admins are able to create an approval process.
For example, all training materials may need to be approved by a subject matter expert to ensure that information in a video is correct before uploading; or new employees may be placed in a New Hire group with experienced users set as approvers in a New Hire approval process. All uploads created by this group would then be subject to approval by the experienced users and video status will be set to Pending Approval. When the employee is deemed experienced enough, he/she may be removed from this group and no longer subject to approval for uploading.
Additionally, the approval process may be a multi-step approach if different organizational groups need to be involved. For example, you may decide that a video needs to go through both the Sales team and Human Resources before it is approved for public consumption (made Active).
*To create or edit an approval process:
1. Navigate to Admin > Media Settings > Approval Processes.
2. Click the Create Approval Process button. Click a previously created process to edit its attributes.
3. Enter an Approval Process Name.
4. Specify the users or groups that will require approval. Click the Find Items... search box under the Groups/Users Requiring Approval section. Begin typing either the user account or groups you want to add and Rev will search the system and complete your entry.
 
Note: The Rev search engine works similar to popular Web search engines in that using double quotes around your search will narrow it and result in more accurate results if you are looking for a specific user or item.
For example, if you are searching only for one specific video, user account, event, etc., enclosing the search in double quotes avoids returns of similar terms or derived words in your search results.
Note that this is also true when using Find Items search within the Rev user interface to search for user accounts.
 
5. Click Done to complete your entry. Notice the image below has a group and one individual user account that will need video upload approval in this approval process.
6. Next, specify the user accounts or groups that may approve content as part of this approval process. You may specify one step or several approval stages involving multiple groups or people.
7. Enter an Approvers Step Name. Every step is required to have a step name.
8. Click the Find Items... search box under the Approval Steps section. Begin typing either the user account or group you want to add and Rev will search the system and complete the entry for you to click on and add.
9. If the Suppress Email control is checked next to the Approver, that entry will not receive pending approval emails. Rejection emails will still be sent. This function may be set at all approval stages.
10. Click Done to complete your entry. Notice the image below has a group added that will not be notified when content has been submitted for approval.
 
Note: Approvers are required to approve or reject the submitted content before it may be viewed by other users. If more than one approver is designated, only one approver needs to approve the content.
11. Click the Add Approvers button at the bottom of the form to add additional approval steps. You may create up to 5 approval steps in an approval process. A video upload will be required to pass all stages before it will be visible.
12. Click Create Approval Process to create the new process or Save Approval Process if you are editing an existing process.
